Keeping your office in sync¶
Goal: Hand off a follow-up, ask a teammate a question, or flag something, right where the conversation is happening.

Shared inboxes: everyone sees the same conversations¶
Every conversation is shared across your team. Each outbound message shows who sent it, so you always know who's handling what. Comments and tasks are internal only. Caregivers and clients never see them.
Comments and tasks on messages (recommended)¶
Comments keep the context with the conversation, so nobody has to ask "which caregiver was this about?"
- Hover over a message and click the action dots (⋮).
- Choose Add comment (or Assign this as a task?).
- Type
@to tag a teammate. They'll be notified and the item lands in their Inbox. - Submit. A small comment indicator appears on the message for everyone.
When someone tags you:
- A red badge appears on Comments & Tasks in the top bar, and the item shows on your Home screen.
- Click Show to jump to the full conversation.
- Reply in the comment. The person who tagged you is notified automatically, so there's no need to re-tag them.
- Mark complete when it's done. It leaves your pending list but stays searchable.

To create a standalone task, open the panel → Task → Create a new task, describe it, and assign it with @name.
Team Chat¶
For general coordination that isn't about a specific contact, such as "Who's covering lunch?" or "Heads up, the WellSky sync is slow today":
- Click Team Chat in the top bar.
- New chat → select participants → (optional) give it a label, such as "Weekend on-call".
- Pick a conversation from Select conversation to switch between chats.
If a chat with the same participants already exists, CareQB opens that one instead of creating a duplicate.
Slack (optional)¶
If your agency has connected Slack:
- Post to Slack Channel? on any message shares it to a channel.
- CareQB can send certain alerts to Slack, such as a caregiver who can't be reached for a missed clock-in.
- Admins can link each user to their Slack profile so mentions reach the right person.
Best practices¶
- Comment on the message, not in Team Chat, when it's about a specific caregiver or client. Future you will thank you.
- Always @mention the person you need. Comments without a tag don't notify anyone.
- Close the loop. Mark tasks complete so the Sent view shows the truth.
